Payment
Currency
The currency in Bali is the Indonesian Rupiah (Rp). Exchange rates fluctuate daily, so it's recommended to check them regularly. Major credit cards and travelers' checks are accepted at major hotels and restaurants, but some places may charge a fee. Additionally, credit cards and travelers' checks may be restricted or not accepted at all in shopping centers and small shops around town, so having cash in Indonesian Rupiah is convenient. Currency exchange from foreign currencies like Japanese Yen and USD to Indonesian Rupiah can be done at hotels and money exchange offices in town. ATMs are available in major tourist areas.
Exchange Rate
Due to the financial climate, fluctuations in currency exchange rates can be both sudden and drastic. We would therefore like to advise you of the following: Guaranteed Rupiah prices: the prices quoted in Rupiah are guaranteed and fixed when you settle your hotel account in Rupiah currency. Credit card: According to Indonesian law, settlement by credit card is charged in local currency. AYANA Resort and Spa takes no responsibility for subsequent exchange rates or other fees applied by your credit card provider during your stay or after your departure.
Tipping
Tipping is not expected, though welcomed. Most restaurants and hotels include a service charge in the bill.
Payment Policy
For your safety and convenience, AYANA only accepts cashless payments. Transactions can be made with QRIS, debit, or major credit cards including VISA, Mastercard, Amex, UnionPay, and JCB.
A credit card is required upon arrival for deposits and for purchases across the resort's venues.

Weather
The weather in Bali is generally hot and humid throughout the year. Temperature ranges from 24 - 32 degrees Celsius (75 - 89 degrees Fahrenheit). Bali has two distinct seasons. The rainy season occurs generally around November through April. Precipitation falls mainly during the late afternoon and early evening hours. The dry season generally occurs around May through October.
Language
The most widely spoken languages in Bali are Bahasa Indonesia (the official national language of Indonesia) and Bahasa Bali, the local dialect. English is widely used around the island.
Time Zone
Bali is in one of the three time zones in Indonesia, which is 8 hours ahead of Greenwich Mean Time (GMT). It shares the same time zone as Singapore and Hong Kong. It is 1 hour behind Japan.

To mark the Balinese Hindu New Year, the Balinese celebrate an annual 'Day of Silence' known as Nyepi. It is a wonderful time to visit the island, especially for guests who are interested in the unique traditions that underpin Balinese Hinduism. A spectacular procedure of ceremonies, parades of great bamboo monsters, and fireworks occur on the Eve of Nyepi, followed by a day of total silence and seclusion when the Balinese will pray and meditate to cleanse the island of evil spirits. People/Religion
The Balinese are one of over 300 ethnic groups in Indonesia. The majority of the population adheres to Agama Tirtha, which translates to the religion of the holy water. This unique Hinduism is formed as a combination of existing local beliefs and Hindu influences from mainland Southeast Asia and South Asia.
Temple Etiquette: Please wear a sarong or prayer shawl. During menstruation, women shall not enter the temple area.

Upon check-in, guests are required to present a credit card for a security deposit of IDR 1,500,000 per night to cover incidental charges. Clothing
Due to the high temperatures and humidity, casual clothing similar to what you would wear during a Japanese summer is recommended. However, since facilities like hotels, restaurants, and shopping centers often have strong air conditioning, it's convenient to have a light jacket or wrap that you can easily put on or take off. Swimwear should be worn only at the pool or beachside. If you plan to visit Balinese Hindu temples or other places of worship, it's advisable to wear modest clothing that respects the local religious customs. This includes shirts with sleeves (short sleeves are acceptable) and pants or skirts that are knee-length or longer.
Guidelines and Standards of Conduct for Photography and Videography
At AYANA Bali, photography and videography are guided by standards designed to ensure guest comfort, safety, and privacy throughout the resort.
Guests and production teams are kindly requested to review the permitted areas, applicable requirements, and expected conduct before proceeding. Photography or videography that does not align with these guidelines, or that disrupts the guest experience or resort operations, may be discontinued. Any resulting damages, fines, or legal costs will be the responsibility of the involved parties.
Drone Usage Regulations:
At AYANA Bali, we have established regulations regarding the use of drones to ensure the safety and privacy of all our guests and employees. The use of any unmanned aerial systems, including unauthorized drones, remote-controlled aircrafts, and devices, is strictly prohibited within AYANA Bali property. This prohibition applies not only to flying or remotely piloting drones within the resort but also to flying drones beyond the boundaries of the property. Violation of this policy may result in the confiscation of the equipment. Additionally, violators will be held fully responsible for any injury, property damage, privacy infringement, fines, or legal costs that may arise from such actions.
Plugs and Voltage
The power outlets use a two-round-pin plug (C type). The voltage is 220 volts / 50 cycles. The hotel provides rental adapters and voltage converters for guests. Please note that the number of voltage converters available is limited, so it is advisable to bring your own if needed.

Minivan (Toyota Innova class) for up to 4 people: The first 3 hours cost Rp924,000, with an additional charge of Rp308,000 per hour for any extensions.

Booking Spa Treatments
Booking via Website: Choose your desired treatment from the spa page on our website and proceed to the booking request form by clicking the "Book" button. You can book multiple treatments in a single reservation.

Cancellations/Changes
Please inform us of any cancellations or changes to your reservation at least 24 hours in advance. Cancellations or changes made within 24 hours of the scheduled appointment will incur a 100% cancellation fee. For cancellations or changes, contact us via email at: info-spa.bali@ayana.com
Reception
Please check in at the spa at least 15 minutes before your treatment time. If you arrive after your scheduled appointment time, the duration of your treatment will be shortened accordingly, regardless of the delay. Additionally, you may be required to fill out a consultation form depending on the treatment you choose. If you are under medical care or taking medication, please inform the receptionist in advance.
Pregnancy/Menstrual Period Spa Usage:
For safety reasons, treatments involving strong pressure or heat therapy are not recommended during pregnancy or menstruation. To ensure you receive the most appropriate treatment for your condition, please inform the spa receptionist or coordinator of your condition when making a reservation. Guests are also advised not to use the Thalassotherapy Pool during their menstrual period. In such cases, the Thalassotherapy Pool benefits may be rescheduled for another day.
Treatment Attire
We recommend removing necklaces, bracelets, watches, rings, earrings, and other accessories before visiting the spa and storing them in the safe in your room. If you bring valuables to the spa, please deposit them in the safety box at the spa reception. Please do not store valuables in the lockers. For body treatments, it is advisable not to wear clothing or underwear. Disposable shorts and a kimono are provided for your comfort. Treatments will be conducted while partially covering your body with sheets.
Smoking/Alcohol Consumption
Smoking and alcohol consumption are prohibited within the spa premises. It is recommended to avoid treatments if you have consumed alcohol within 8 hours prior to your appointment.
Use of Mobile Phones and Other Devices
The spa is a quiet and relaxing environment. Please respect the privacy and tranquility of other guests. The use of mobile phones and sound-emitting electronic devices is prohibited.
Wedding
Will my marriage in Bali be legally recognized?
The Indonesian Government's requirements for arranging legally binding marriage vows are quite specific. Once these guidelines are met the legal formalities are relatively easy to manage. When a couple decides to get married in Bali our Bali-based agent files all of the necessary paperwork with Indonesian authorities. Originals of all legal and religious documentation must be brought to Indonesia and shown as proof before the ceremony takes place. Once these documents and certificates have been arranged and lodged your marriage is legally recognized.
Is there any special visa requirement?
Since February 2004, the Indonesian Government implemented a Visa on Arrival applicable to 21 countries and territories. It is advisable to contact your local embassy or Indonesian Consulate to inquire if your country is exempt from these regulations. In addition, all passports must have a minimum of 6 months validity on them.
What are the best months and best times to get married?
Bali has a wonderful year-round climate with tropical temperatures that are consistently around 30 degrees Celsius. Favorite times are mid-morning at 10:00 a.m., or 5:30 p.m. just before sunset to capture the spectacular glow cast over the Resort.
What do I do if it rains?
We always provide a backup venue for outdoor events. The backup venue will be at one of our indoor function rooms or outlet that is available on that day. The backup venue is to be determined by the resort, should the client wish to have a fixed allocated backup venue at a particular space, a blocking fee (non-refundable, non-transferable into other forms of utilization) will need to be paid for securing the space.
What type of celebrants conducts the marriage ceremony?
We have a range of celebrants offering religious and non-religious ceremonies, including options for Commitment Ceremonies, vows renewals, or affirmations. You may choose to have either a male or female celebrant or official to conduct your ceremony.
Are we able to write our own wedding vows?
Yes certainly. Our marriage celebrants encourage the input of the Bride & Groom to make their special day as intimate and personal as desired.
Will my ceremony be private if held in your resort?
AYANA Bali is surrounded by 90 hectares of land. All wedding venues are private, secluded, and secure with hotel staff and signage dedicated to protecting the privacy of all wedding guests.
How much time before my wedding should I start preparations?
At least 4 months before your wedding date is ideal to secure your booking and commence preparations. Subject to availability, the Resort may also accommodate requests within a one-month time frame.
Do I need to have a wedding organizer or wedding planner? Will there be an additional charge if bring my own?
For weddings with more than 80 guests, we highly recommend hiring a wedding organizer. A wedding organizer is crucial for managing your itinerary, as well as coordinating accommodations and transportation for your guests, especially those traveling from outside Bali. Their assistance can significantly reduce your stress on the wedding day.
There is no entrance fee for the wedding organizer. However, please note that fees apply for outsourced decorations, entertainment, wedding cakes, and fireworks.

Do you have any on-site bridal boutiques?
AYANA has an exclusive on-property bridal and wedding services boutique operated by a leading bridal company, “White Door Weddings Bali.” White Door Weddings Bali recently launched Bali’s first exclusive bridal boutique and services on the grounds of AYANA Resort and Spa, Bali. They offer a wide selection of wedding dresses direct from the latest designer collections and shows in Europe and Asia. Dresses, suits, and bridal accessories can be purchased or rented in a range of sizes from XXS to XXL.

Can your venue accommodate 1,000 to 2,000 delegates with onsite accommodation?
Yes. AYANA Bali's Grand Ballroom holds up to 2,300 guests (theater) or 1,260 (round-table) across 1,850 sqm, with close to 1,000 guestrooms for onsite accommodation in the same resort complex. Adjacent venues support simultaneous registration, breakouts, catering, and networking for conferences, summits, exhibitions, and galas.
How many people can your new convention ballroom host in theater, classroom, banquet, and cocktail layouts?
The Grand Ballroom holds up to 2,300 in theater, 2,200 for cocktail/reception, 1,260 for banquet/round-table, and 1,152 in classroom. Comfort-based capacities are lower and vary based on stage size, AV footprint, aisles, camera platforms, LED walls, ceiling height, and sightlines. Both maximum and comfort-based capacities are provided for each event program.
Can the ballroom be divided into multiple breakout rooms for concurrent sessions?
The Grand Ballroom serves as the plenary hall, while concurrent breakouts run in adjacent venues within the same precinct, including Ungasan, Uluwatu, and Jimbaran Courtyards, Jimbaran Lawn, and nearby meeting rooms. This supports parallel session tracks, VIP rooms, press rooms, and organizer offices simultaneously.
When will the ballroom expansion be completed, and from what date can post-renovation events be booked?
The ballroom expansion is scheduled for completion by 1 September 2026, with events bookable from that date onward. Planners can secure dates in advance by contacting the sales team with preferred dates and program requirements.
What is included in your full-day and half-day meeting packages in Bali?
Packages typically include a meeting room, standard AV setup, coffee breaks, and lunch (full-day). Time windows, overrun rules, and minimums vary by venue and season. Upgrades available include enhanced coffee breaks, themed dining, premium AV, and branded décor.
What is the total conference cost structure, including taxes, service charge, overtime, and equipment fees?
Costs include venue rental and/or meeting packages, food and beverage, AV/production, plus a combined 21% service charge and government tax. Additional fees may apply for special equipment, extra staffing, and overtime beyond contracted hours. An itemized estimate is provided once dates, attendance, and requirements are confirmed.
Do you offer corporate room blocks and bundled meeting plus stay rates for delegates?
Yes. AYANA Bali offers corporate room blocks and bundled meeting-plus-accommodation rates across close to 1,000 guestrooms. Terms include block size, cut-off dates, release/attrition policy, and organizer benefits such as VIP room allocations, staff rooms, and a hospitality desk.
How far is your venue from Ngurah Rai Airport and major business or tourism areas in Bali?
AYANA Bali is in Jimbaran, approximately 12 km from Ngurah Rai International Airport. Transfer time is around 30 minutes depending on traffic. Private cars, group coaches, and coordinated arrival/departure plans are available for large delegations.
What AV and connectivity are included for large conferences (for example 500 to 1,500 attendees)?
Baseline AV includes sound, projection/displays, microphones, lectern, and standard lighting. The venue is streaming- and recording-ready with dedicated bandwidth, wired drops, tie-lines, and clean house feed; clients supply cameras and encoders. Property-wide high-density Wi-Fi, private networks, custom cabled bandwidth, and optional redundancy are available. Onsite support includes an AV coordinator and room technicians.
Can we use external AV, staging, and production vendors, and are there related fees?
Yes, with prior approval and vendor registration. Load-in/load-out windows must be scheduled in advance, and all setups must meet AYANA's rigging, power, and safety standards. Handling, supervision, or infrastructure fees may apply depending on scope.
What sustainability options do you provide for corporate meetings and conventions?
AYANA Bali is EarthCheck Gold-certified. Sustainable meeting options include reduced waste and single-use plastics, locally sourced and seasonal menus, and mindful banquet setups such as portion-controlled buffets. A summary of sustainability measures implemented for your event can be provided for post-event reporting.
How do you handle weather contingency and emergency response for large-scale events in Bali?
Outdoor programs include a pre-agreed wet-weather backup plan with indoor alternatives and/or tenting. AYANA maintains security and medical response protocols, incident escalation procedures, and backup power for critical functions.
Do you provide a dedicated event manager and how fast can we receive a proposal?
Yes. A dedicated event manager serves as your single point of contact for planning and onsite execution. Proposals are typically sent within 1–3 business days of receiving event details; complex multi-venue productions may take longer.
Can you share sample floor plans for 500, 1,000, and 1,500 delegates?
Yes. Sample floor plans with dimensions are available for 500, 1,000, and 1,500 delegates across plenary, breakout, expo, and gala configurations, including guest flow for registration, F&B, and branding/signage zones.
What are your cancellation, postponement, and rebooking terms for corporate events?
Terms are outlined in the event contract based on notice period and services reserved. Postponement and rebooking options are available, with fees and deposit transfers per contract. Force-majeure situations follow standard contractual provisions.
Can you accommodate halal, vegetarian, vegan, and allergy-safe conference menus at scale?
Yes. Vegetarian, vegan, and allergy-aware menus are available at scale with advance notice and clear labeling. AYANA is not halal-certified but can provide non-pork menus and avoid alcohol in cooking. Final dietary counts are required before the event.
What similar conventions or corporate events have you successfully hosted in Bali?
AYANA Bali regularly hosts corporate conferences, gala dinners, product launches, and incentive programs, including events from several hundred to over 1,000 delegates. Case examples and references are available upon request.
How early should we book a Bali convention venue for peak dates?
Book 9–12 months in advance for large conventions and 6–9 months for mid-size programs during peak periods. Tentative date holds can be placed for a limited time while details are finalized.
Is your main ballroom pillarless, and what are the ceiling height and rigging capabilities?
Yes. The Grand Ballroom is pillarless with a 9-meter ceiling height. Rigging points and load limits are confirmed based on production design. Suspended elements (truss, motors, banners, LED screens) require engineering review and safety compliance.
Can your venue support an exhibition zone plus conference sessions at the same time?
Yes. The ballroom, pre-function/foyer, and adjacent meeting rooms can run an exhibition zone alongside plenary sessions and breakouts simultaneously, with designed floor plans for registration, expo access, F&B breaks, and service circulation.
Do you have parking and loading access for buses, trucks, and event logistics teams?
Yes. AYANA Bali has ample on-site parking including space for coaches and logistics vehicles. Loading access and timing windows are coordinated in advance under security screening and access control procedures.
Can you support hybrid events with live streaming and remote speakers?
Yes. AYANA supports hybrid events with live streaming, remote speakers, and audience interaction. The venue works with your preferred streaming platform, and onsite technical support and production partners can be arranged.
Do you provide registration areas, badge printing setup, and wayfinding support?
Yes. Registration zones are available in foyer or dedicated spaces with room for counters, queuing, and badge-printing setups. Wayfinding support includes signage, backdrops, and directional boards.
Can you provide speaker ready rooms, VIP holding areas, and media interview spaces?
Yes. VIP rooms, meeting rooms, and lounges are available for speaker prep, green rooms, VIP holding, and media interviews. Privacy and controlled access can be arranged for VIP movement.
Can one event use venues across multiple hotels in your complex under one plan?
Yes. Events can span multiple AYANA Bali properties under a single coordinated plan with cross-property logistics, internal transfers, unified planning, and consolidated billing.
Do you offer organizer benefits such as complimentary rooms or upgrades for large groups?
Organizer benefits are available based on total room nights and event spend. Options include complimentary rooms, VIP/speaker room upgrades, and value-added inclusions. All benefits are subject to availability, blackout dates, and terms confirmed during the proposal stage.
What are your payment milestones and accepted currencies for international event organizers?
Payment includes an initial deposit, staged pre-event payments, and final settlement after the event, as outlined in the contract. Accepted currencies and payment methods are confirmed during contracting; bank charges and FX differences are the payer's responsibility.
Can conference menus, coffee breaks, and gala dining be customized to our brand and audience profile?
Yes. All F&B — conference menus, coffee breaks, and gala dining — can be tailored to your brand, theme, and delegate profile, including custom dishes, presentation style, and branded touches. Final selections are due by an agreed cut-off date.
What accessibility facilities do you provide for delegates with mobility or sensory needs?
Facilities include step-free routes where available, accessible seating in meeting rooms and ballrooms, accessible guestrooms, and accessible entrances and restrooms in main event areas. Specific needs should be shared in advance for venue recommendations.
Can you support visa-document requests and invitation letters for international conference delegates?
AYANA can issue hotel confirmation or booking letters to support visa applications. Requests should be submitted well in advance. Visa applications and embassy compliance remain the organizer's and delegates' responsibility.
Do you provide backup internet lines and backup power for mission-critical sessions?
Yes. Backup internet options can be arranged for mission-critical sessions. Requirements are reviewed in advance to confirm available connectivity and power backup options.
Can we measure event sustainability outcomes such as waste reduction or carbon estimates?
AYANA Bali is EarthCheck Gold-certified and audited annually across 10 areas including greenhouse gas emissions, energy efficiency, freshwater management, waste management, and ecosystem conservation. Sustainability is measured at the property level, not per event, but organizers may reference AYANA's certification and performance data. Local impact programs include sourcing from local suppliers, showcasing locally made handicrafts, and partnering with local art and cultural groups.
What insurance and compliance documents are required for external organizers and vendors?
Indonesian entities need a Nomor Induk Berusaha (NIB) and NPWP. International entities need company registration and business license; payments to overseas vendors also require a DGT Form and/or Certificate of Residence. No specific insurance is required, damages are deducted from the deposit per contract.
Do you have multilingual event support teams for international delegates?
Yes. Multilingual assistance is available for international events. Professional interpreters and translation services can also be coordinated through external partners with advance notice.
